Sound familiar? Planning an event is exciting at first, but can quickly become overwhelming once you start realizing how much there is to plan. Regardless of the type of event (corporate, wedding, birthday, etc.) there are many different aspects to consider when planning a luxury event. Where will we have it? Who do we invite (and can they bring a guest)? Where is the food coming from? It’s enough to make your head spin!

This is why many people turn to luxury event designers and planners. Before you call in the “big guns,” here are the basic things to keep in mind when planning your event.

Budget

Establishing a budget can help you narrow your options down when choosing vendors to use, the amount of people to invite, or whether or not to provide gift bags. An unlimited budget would make planning your event much easier, however that may not be realistic for some and it is good to have a way to gauge your event planning. Theme

Choosing a theme for your event can be as intricate as you would like. You can pick a simple theme, such as holiday, birthday, congratulatory, or you can be creative with your theme, such as “Winter Wonderland” or “The Great Gatsby.” The possibilities are endless!

Number of Guests

The number of guests can affect many other things that you need to plan for, so this is one of the first things to determine when planning your event. It is hard to book a caterer when you do not know how many mouths to feed, or to book a venue, when you do not know how many people to seat.

Location

The location will set the mood for your event so it is important to pick a location that ties into your theme. You need to keep in mind how many people will be attending when searching for a venue. Many places have a maximum amount of people they can allow, or a minimum number of people attending in order to reserve an area. Doing your research can take time but it will save you the headache of not fitting all your guests into the location. There are many other location factors to consider as well. For example, if you are planning a beach wedding you want to make sure there are accommodations for weather changes.

Activities

Here is the fun part. Whether it be eating, drinking, a ceremony, children’s games, or dancing, you need to have an idea of what will actually occur during the event. This will help you to determine the length of the event, date, and accommodations to provide.
